Request for Proposal: Update to CDA Intranet Site

I. Introduction

CDA is seeking proposals from qualified vendors to enhance our internal intranet site. The goal of this fast-paced project, set for completion by June 30, 2025, is to improve organization, usability, and functionality to better serve our employees. The updated intranet should provide a more intuitive user experience, better access to information, and improved communication tools to support collaboration across departments.

II. Project Goals & Objectives

The selected vendor will be responsible for designing, developing, and implementing enhancements to CDA’s intranet site in alignment with our brand, including but not limited to:

  1. Employee Directory Improvements
    • Reorganize and optimize the employee directory for better usability.
    • Implement a hierarchical structure that visually displays relationships between employees and their supervisors.
    • Provide searchable employee profiles with key information such as department, role, and contact details.

  2. Enhanced Site Search Functionality & Knowledge Base
    • Improve the search engine within the intranet for faster and more relevant results.
    • Enable filtering and advanced search features to locate employees, documents, and resources efficiently.
    • Expand knowledge base functionality, organization, and display to support multiple departments..
  3. Social Channel Integration
    • Embed live social channel feeds from platforms for seamless access to organizational updates and engagement.
    • Ensure proper moderation and filtering of social content to align with company policies..
  4. Social Media Content & Template Design
    • Develop branded social media post templates that align with the new messaging and visual identity.
    • Improve design consistency and engagement across platforms.
    • Provide recommendations on best practices for effective digital communication.

III. Scope of Work

The vendor will be expected to:

  1. Conduct a Needs Assessment:
      • Collaborate with stakeholders to gather requirements.
      • Analyze current intranet limitations and identify opportunities for improvement.
  2. Design & Development:
      • Provide a user-friendly and brand alignment interface.
      • Implement features that enhance searchability, navigation, and organization.
      • Develop a secure and scalable solution to support future growth.
  3. Integration & Testing:
      • Ensure compatibility with existing infrastructure and third-party systems.
      • Conduct thorough testing for functionality, performance, and security.
      • Provide a testing period for internal users before full deployment.
      • Training & Documentation:
          • Onboard Communications Team on new features and functionalities.
          • Deliver comprehensive documentation for ongoing maintenance and updates..

Scope of work must be completed by June 30, 2025.

Vendors submitting proposals must include:

  1. Company Background & Experience
    • Overview of company experience and expertise in intranet development.
    • Relevant case studies or examples of past projects.
  2. Proposed Approach & Methodology
    • Outline of project approach, development framework, and timeline.
    • Description of tools, platforms, and technologies to be used.
  3. Project Timeline & Deliverables
    • Detailed timeline with major milestones and deliverables showcasing ability to meet completion deadline of June 30, 2025.
  4. Cost Proposal
    • Breakdown of pricing, including development, integration, training, and support costs.
  5. Support & Maintenance Plan
    • Details of post-launch technical support and ongoing maintenance services.
